Start with the job, not the tool

New AI tools launch every week, and chasing all of them is a reliable way to learn none of them well. The professionals getting real value pick two or three tools that match the work they already do, then go deep.

Before adopting anything, write down the three tasks that eat most of your week. Those tasks decide your toolkit — not the launch announcements.

A general-purpose assistant

Everyone benefits from one strong general assistant for drafting, summarising, brainstorming and reasoning through problems. Learn it properly: give it context, show it examples, and ask for a specific format.

  • Drafting emails, proposals and documentation
  • Summarising long threads, reports and meeting notes
  • Thinking through decisions with pros, cons and risks

A research tool that cites its sources

For anything factual, use a tool that shows where its answer came from — and open the sources. Treat AI research as a fast first pass that you verify, never as the final word.

An automation platform

The biggest time savings come from connecting AI to the tools you already use. Platforms like n8n, Make or Zapier let you trigger AI steps from emails, forms and spreadsheets without writing much code.

Start with one boring, repetitive process — lead intake, invoice data entry, weekly reporting — and automate just that.

Make it stick

Tools only help if they become habits. Keep a small library of prompts that worked, review AI output before it leaves your hands, and revisit your toolkit every quarter rather than every week.
